ScholaLink ("we", "us", "our") is a multi-school academic management platform operated by Nullstar Design Agency. This Privacy Policy explains what personal data we collect, how we use it, who may access it, and the rights you have over it. By using ScholaLink, you agree to the practices described here.
1. Data We Collect
- Account data: name, email address, username, school code, role (admin, teacher, student, parent, owner), and display preferences.
- Profile data: student and staff records including grade level, subjects, contact details, photo, and emergency contacts.
- Academic data: assessments, submissions, grades, attendance, transcripts, report cards, and practice quiz attempts.
- Communication data: messages, announcements, mentor conversations (including any image or PDF attachments you share with the AI mentor), meeting links, and support chat messages.
- Usage data: device, browser, and interaction data collected via cookies and similar technologies (see our Cookie Policy).
2. How We Use Your Data
- To provide and operate the academic management features of ScholaLink.
- To generate AI-powered guidance, lesson plans, grading feedback, and practice quizzes tailored to each student.
- To communicate important notifications, announcements, and meeting invitations.
- To secure the platform, detect cheating and plagiarism, and maintain academic integrity.
- To provide live support and respond to your questions.
3. Platforms and Services That May Access or Process Your Data
We share or process data through the following third parties. This list is kept current as new features or connections are added.
- Base44 — the platform that hosts ScholaLink, including its database, authentication, file storage, and application runtime. Your data is stored on Base44 infrastructure.
- Anthropic (Claude AI) — processes prompts and content (including text you submit and, for the mentor, image/PDF attachments) to generate AI mentor responses, lesson plans, grading, quiz, and writing/plagiarism analysis.
- Google — used for Google sign-in, and optionally Google Calendar, Google Drive, Google Meet, Gmail, and Google Sheets when a school connects those services.
- Stripe — processes payments if your school enables paid features or billing.
- TikTok / Instagram — only if a school publishes content to those channels and connects the relevant account.
- Email delivery providers — to send notifications, invitations, and password-reset emails.
Each third party processes data under its own privacy policy. We share only the minimum data necessary to provide the feature you are using.
4. Data Retention
We retain your data for as long as your school account is active or as needed to provide the service. When a school is removed or an account is deleted, we make best-effort attempts to remove linked records within a reasonable period.
5. Children's Data and Age Consent
ScholaLink is used by students who may be minors. We do not knowingly collect data from children without school enrolment and parental/guardian consent. By enrolling a student or creating a student account, the school and the student's parent or guardian consent to the collection and processing of the student's data described in this policy, including the use of AI features for academic support. Parents and guardians may request access to, correction of, or deletion of a minor's data by contacting the school administration or our support team.
6. Your Rights
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your data, subject to school record-keeping requirements.
- Object to or restrict certain processing.

7. Security
We use platform-level authentication, role-based access control, and per-school data isolation to protect your data. Each school's data is separated by school code. AI mentor attachments are stored privately and accessed via short-lived signed URLs.
8. Changes to This Policy
We update this Privacy Policy whenever we add features or connections that change how your data is processed. The "Last updated" date above reflects the most recent revision.
